Foreign Employee Immigration Documentation Assistance helps Nepal-based employers and foreign professionals assemble and review the records used for a Nepal Working Visa application. The Department of Immigration’s published checklist includes an application, government line-agency recommendation, labour work permit, Work Agreement from the Ministry of Home Affairs, employment letter, tax documents, and passport and visa copies. The exact file depends on the employer, sector, application stage, and the instructions of each responsible authority. Immigration Nepal is an independent advisory service. We can help organize information and compare a document set with published requirements; we are not a government office and cannot issue a Non-Nepalese Work Permit or visa. A complete-looking file does not guarantee acceptance, eligibility, approval, or a particular decision time.

Who may need documentation assistance

This service is for employers preparing records for a foreign employee and for foreign employees who need to understand which identity, employment, and immigration documents to coordinate with their employer. It can be useful when a file spans multiple authorities, when an application is being renewed, or when an employer needs to separate its records from the employee’s personal documents. A Working Visa is the immigration authorization for employment. It is distinct from a Non-Nepalese Work Permit or labour approval. The Department of Immigration says only foreign nationals holding a Working Visa may accept employment and work in Nepal. Its visa information page describes a work permit from the labour authority as part of the Working Visa checklist. An employer recommendation, application receipt, or work permit alone should not be treated as the final visa decision.

Documents listed for a Working Visa

The Department of Immigration’s current published Working Visa information lists these supporting items. It may request additional documents, and the responsible line agency or labour authority may have its own application records. - Recommendation letter from the concerned government line agency.

  • Work Permit from the labour authority, identified on the Immigration checklist as the Department of Labour.
  • Work Agreement from the Ministry of Home Affairs.
  • Appointment letter or employment contract.
  • Tax clearance for the hiring organisation, institution, or agency.
  • Applicant tax clearance for a renewal, if the applicant paid taxes individually.
  • General Agreement with the Social Welfare Council (SWC) for NGOs and INGOs.
  • Passport and current Nepal visa copies, plus the online application form. These items form the Department of Immigration’s published visa checklist; they are not a universal checklist for every employer-side labour-permission or work-approval filing. For example, the Department of Industry’s citizen charter describes a specific non-tourist visa recommendation route for foreign workers in domestically funded industries. Its employer documents include industry and VAT/PAN registration, a vacancy advertisement, recruitment evidence and company decision where Nepali applicants were not selected, the worker’s notarized passport and visa, biodata and qualifications, employer tax clearance, workforce information, and industry progress and inspection records. That route-specific list should not be applied to other sectors without confirmation.

How we help prepare the file

  • Map the application. We identify whether the request concerns an employer’s labour process, the employee’s work approval, a Working Visa, a renewal, or an industry-specific recommendation. These processes may have different forms and supporting evidence.
  • Build a document inventory. We record what the employer and employee already have, what is missing, and which authority’s published checklist applies. We distinguish source documents from copies, translations, notarizations, and certifications when the authority’s instructions address them.
  • Check names and dates. We can help compare spelling, passport details, role and employer information, dates, and consistency between the contract and supporting documents. Any correction or certification must come from the relevant issuer or authority.
  • Prepare questions for the responsible office. Where a requirement is unclear or case-specific, we flag it for confirmation with the Department of Immigration, Department of Labour and Occupational Safety (DoLOS), Department of Industry (DoI), relevant government line agency, Ministry of Home Affairs, or SWC as applicable.
  • Organize submission copies. We can help arrange documents in a clear order for the applicant or employer to submit through the official channel. The applicant or authorized employer representative remains responsible for accuracy and filing with the authority.
  • Track follow-up items. If an office requests clarification or additional evidence, we can help organize the response materials. Only the authority can determine whether the response meets its requirements.

What to prepare before asking for help

To discuss the right document set, gather the employee’s passport and current Nepal visa details, the proposed role and employer information, the appointment letter or contract, and any work permit, recommendation, or application already received. Employers should also identify the sector and whether the organization is an NGO or INGO, a domestically funded industry, or another type of entity. Do not send original passports or sensitive records until a secure, appropriate submission method is agreed. DoLOS publishes labour permit forms and required-document information, while the Department of Industry publishes its own citizen charter and route-specific instructions. Immigration requirements and online application steps can change. Before filing, confirm current forms, copies, certification, additional evidence, and submission instructions with each responsible authority. No processing period, government fee, or eligibility outcome is promised on this page.

Frequently asked questions

What documents does the Department of Immigration list for a Working Visa?

Its published list includes a government line-agency recommendation, labour work permit, Ministry of Home Affairs Work Agreement, appointment or contract letter, hiring-organization tax clearance, applicant tax clearance for some renewals, SWC agreement for NGOs and INGOs, passport and visa copies, and the online application form. Authorities may request more or give case-specific instructions.

Is a Work Permit the same as a Working Visa?

No. The Department of Immigration lists the labour work permit as a supporting document for a separate Working Visa application. The relevant labour authority and Department of Immigration handle distinct decisions.

Does the same document checklist apply to every foreign employee?

No. The Immigration checklist concerns the Working Visa. Labour applications and sector-specific recommendations may require other records. The Department of Industry, for example, publishes separate evidence for a described domestically funded industry route. Confirm the applicable process with the responsible office.

Can Immigration Nepal submit or approve the application for me?

Immigration Nepal is an independent advisory service, not a government authority. We can help organize documents and identify questions to verify, but government offices receive and decide applications.

Can I start working while the Working Visa is pending?

The Department of Immigration says only foreign nationals holding a Working Visa may accept employment and work in Nepal. Do not treat a pending application as work authorization; confirm your lawful status and current instructions with the Department of Immigration.

Are processing times or approval guaranteed?

No. Completeness does not guarantee eligibility or approval, and government processing time is outside Immigration Nepal's control. The responsible authorities determine outcomes and may request additional evidence.

General information only. Requirements depend on the facts of each case and can change, so confirm the current position before filing.
